
Event Space and Planning
Events are an important part of the VCU experience. Events build community, re-engage alumni and donors, expand knowledge and create lasting connections that strengthen the university's culture. Well-executed events also enhance VCU's reputation, attract prospective students and create memorable experiences that translate into lifelong institutional loyalty and support.
The communications team assists with unit-level events in the following ways:
- We find and book you space.
- We create graphic materials and swag for your event.
- We help with some elements of publicity.
All other elements are handled by the unit. Below are resources to help you plan your event.
Event Playbook and Checklist
The event playbook contains STEM Building guidelines, additional resource information, like catering contacts, furniture rentals, AV assistance, and parking forms, as well as event publicity advice. We also offer a week-by-week event planning checklist that you may use when planning your event.

Planning Your Event
The following form should be used by the College of Humanities and Sciences faculty and staff to request help planning and marketing all CHS-related events, whether in-person, virtual or hybrid. It should be completed six weeks ahead of the event. Even if you don’t need the help of the Dean’s Office for your event, we still need to know about the event. Please fill out the Event Space/Marketing Request form to let us know about it.
STEM Building Events
We are now accepting space requests in the STEM Building. We can accommodate groups of up to 200 people. Priority will be given to those in CHS. Before you fill out the request form below, please read the STEM Building event guidelines.
In order to book the space, please fill out the event space and/or planning request form. We will place you in the appropriate space based on your needs.
Webinar License
The College of Humanities and Sciences no longer has a Zoom webinar license. VCU does own one and it is available for use for a fee. If you are interested in this option, please fill out the Video Services Request Form.
